The quick answer
Address immediate safety first, then check the company, lease or breakdown arrangement for authorisation and provider requirements. Identify who approves the tyre specification and price, and give the correct billing details. Do not assume any tyre callout is automatically covered.
Separate safety from purchasing approval
A driver in danger should use the appropriate emergency or breakdown guidance immediately. Waiting for an office purchase order must not delay a safety response. Once people are safe, deal with the replacement enquiry and its authorisation.
A manager’s agreement to pay does not mean an unsafe vehicle can be moved. Condition and suitable assistance still need assessment. Keep these two decisions clear in the conversation.
Read the arrangement that applies
Find the vehicle’s fleet instructions, lease documents or breakdown contact details. Some arrangements nominate a provider or require approval before work; others leave the decision with the business. Use the actual terms rather than assuming a rule from another vehicle or another employer applies.
If the office is closed, use the documented out-of-hours route where one exists. Do not invent an emergency spending limit because the tyre problem happened outside normal hours.
Name the person who can decide
Give the tyre provider a reachable authorising contact and establish whether the driver has permission to agree the work. If there is a limit or an approval reference, obtain it through the organisation’s normal process.
Avoid a chain in which the driver, manager and accounts department each believe somebody else authorised the product. Keep a written confirmation of the agreed scope and total price that the relevant people can refer to.
Confirm the replacement requirements
Fleet policies may include product preferences or require specific approval for substitutions. Share those relevant requirements alongside the vehicle details and safely available tyre markings. The vehicle’s approved fitment still governs whether a proposed tyre is suitable.
An instruction to minimise cost does not override load, speed, matching or condition requirements. See the replacement-quantity guide if the discussion involves one tyre versus a pair or full set.
Keep the invoice information clear
Vehicle registration and fleet reference: Authorising person and callback: Required approval or purchase reference: Agreed replacement product and quantity: Total price and included work: Correct business invoice name: Any separate reimbursement process:
Only share information needed for the job. The provider does not need a copy of an entire confidential lease agreement to understand a product restriction or approval requirement.
Record completion and any next action
Pass the work record to the responsible office contact. Report further concerns, separate assessment needs or wheel-security follow-up so they are not lost when the driver resumes their shift. Completion of the agreed tyre work does not automatically close every outstanding vehicle defect.
For Fix My Tyre, confirm authorisation, the replacement requirement, availability, price and safe access before attendance. We cannot establish your employer’s or lease company’s reimbursement terms; those must be checked with the relevant organisation.
Common questions
Will my lease automatically pay for the callout?
Check the actual agreement and authorisation process. Do not assume coverage.
Can the driver agree the work?
That depends on the vehicle’s own policy and the driver’s authority. Establish it before accepting the quote.
Should approval paperwork delay an emergency safety response?
No. Address immediate danger through the appropriate emergency or breakdown route, then organise purchasing approval.
