What should you send when booking a callout?

A clear first message helps establish the vehicle, tyre and location before a fitting visit is discussed. You do not need a technical diagnosis, and you should never take a risk to obtain information.

The quick answer

Send your exact location, vehicle registration and type, affected wheel, observed problem and tyre markings if safely available. Include access restrictions and whether you have the locking wheel nut key.

The useful first message

Hi, I need mobile tyre replacement assistance.
Location / road / direction / site entrance:
Registration and vehicle type:
Affected wheel:
What happened and when:
Tyre markings, if safely available:
Access restrictions:
Locking wheel nut key available: yes / no / unsure
Best contact number:

For an HGV, add the tractor registration, trailer identifier, axle and inner or outer wheel position where relevant. If someone is calling on the driver’s behalf, say who is with the vehicle and who can authorise the work.

Make the location specific

A postcode may cover several buildings or entrances. Add the road, building or yard name and the correct gate. Say whether a service vehicle can access the parking area and mention height limits, a barrier, security check-in or a site contact.

On a divided road, give the direction of travel. Use marker information you already know or can safely see; do not walk along a motorway to improve your description. A map pin is helpful, but a pin without the correct carriageway or entrance can still lead to confusion.

Describe observations rather than guessing the fault

Useful descriptions include “flat after parking overnight”, “warning light followed by pressure loss” or “visible bulge after hitting a pothole”. Tell us whether you drove after noticing it, used sealant or changed to a spare.

A photograph can show a visible symptom, but it cannot confirm everything inside a tyre. Avoid presenting a guess such as “only needs a valve” as an established diagnosis. Knowing what happened and what you actually saw is more useful.

Take photographs only from a safe position

If safely accessible, send a clear image of the full tyre size and nearby load and speed markings. A wider photograph of the wheel or parked vehicle may help explain the position, provided it does not expose you to traffic or breach a site’s rules.

Do not crawl beneath the vehicle, reach between HGV twin wheels or step into a live lane for a better angle. If the relevant sidewall faces inward or is unreadable, tell us and supply vehicle records where available instead.

Mention keys, equipment and restrictions early

Check whether the locking wheel nut key is available if your vehicle uses one. Tell us if it is missing, damaged or uncertain. We do not offer locking wheel nut removal, so this may affect whether the replacement can go ahead.

Tell us about a loaded van, trailer coupling, gate opening times, parking controls or another person who must provide permission. Do not jack up the vehicle or loosen fixings while waiting. The professional needs to assess the working arrangement first.

Know what happens after your message

The details support an enquiry; they are not an automatic booking. We still need to confirm the tyre requirement, availability, price and suitable access. Keep a reliable contact channel open and tell us if the vehicle is moved or recovery changes the destination.

If you are in danger, contact the emergency services first. A WhatsApp message to a tyre company is not an emergency-services request and should not delay that call.

Common questions

Should I send my home address if the vehicle is elsewhere?

Send the vehicle’s current position and the information needed for the job. Unrelated personal documents or details are not needed to establish the callout.

What if I can only send a registration?

Send it with the location and vehicle type, and explain what is missing. We can discuss the next step without you taking unsafe photographs.

Can a photograph guarantee the tyre can be replaced?

No. Fitment and access still need to be confirmed, and wheel or other damage may require assessment at the vehicle.
