Trailer tyre callouts: the details that identify the right assembly

A trailer enquiry can become confused when everyone quotes the tractor registration while the damaged tyre is on another asset. Start by identifying the trailer itself, the affected position and the information available from the fleet records. This helps the office and tyre provider discuss the correct requirement.

The quick answer

Provide trailer identity, axle and wheel position, full tyre markings and single or twin arrangement. Include the tractor details for access and contact purposes, but do not use them as a substitute for the trailer specification. Confirm authority, safe working access and the proposed replacement.

Identify both assets clearly

Record the trailer fleet number or other identification alongside the tractor registration. If the unit is coupled to a hired, exchanged or customer-owned trailer, name its owner and the person responsible for authorising work. Distinguish the damaged asset from the vehicle bringing it to the location.

Use a consistent reference on the enquiry and invoice request. A photograph of the whole combination may help orientation when safely taken, but the trailer’s identity should also be written in words so that it remains clear when images are forwarded.

Describe the wheel position unambiguously

State the affected axle and whether the tyre is inner or outer in a twin assembly. Agree which numbering system the fleet uses. “Rear tyre” is rarely enough on a multi-axle trailer, and left/right should be described consistently from the vehicle’s normal forward direction.

Do not crawl underneath or enter a traffic-exposed side to read a hidden tyre. Give the safely available information and identify what still needs confirmation.

Send the complete specification

Include dimensions, load and speed information, tyre type and any fleet product restrictions. If the sidewall cannot safely be read, use the asset record and say that this is the source. Do not present a guessed size as a measurement from the actual assembly.

Describe the arrangement and condition of the paired tyre where relevant, without deciding that a single replacement will always be acceptable. The provider needs enough information to assess the actual installation.

Confirm authority for third-party trailers

DVSA’s roadworthiness guide explains that an operator using third-party trailers still has responsibilities for their condition. A maintenance contract or an owner’s approval process should be identified early; it does not replace the need to keep a suspected dangerous defect out of use.

The office should establish who authorises the product and cost. If several businesses are involved, keep one named contact for the decision so the driver is not left relaying conflicting instructions.

Describe the location and site conditions

Provide the actual access point, whether the trailer is coupled, yard restrictions and the driver’s safe contact location. For a roadside incident, people’s safety comes before collecting asset details. Follow the motorway guide where relevant.

Attendance depends on suitable working conditions. Do not move a damaged trailer merely to make the enquiry easier unless a competent assessment and the relevant safety arrangements permit it.

Close the job in the fleet record

  • Trailer and tractor references.
  • Reported defect and affected position.
  • Agreed replacement specification and authorising person.
  • Work record and any further assessment required.
  • Wheel-security follow-up under the applicable procedure.
  • The responsible person’s decision about return to use.

Fix My Tyre confirms the replacement requirement and available service before agreeing attendance. A tyre invoice should feed into the fleet process; it is not a substitute for that process.

Common questions

Is the tractor registration enough to order a trailer tyre?

No. Identify the trailer and the full required tyre specification.

Should a driver inspect an inner twin tyre beside moving traffic?

Do not expose the driver to traffic or crawl underneath to complete an enquiry. Use safely available information and fleet records.

Does a trailer owner’s approval establish roadworthiness?

Approval to pay for work and a roadworthiness decision are separate matters.
